The short answer

A focused HubSpot implementation for one team usually takes three to six weeks. Cleaning up an existing portal takes two to four weeks, and a rollout across several hubs or a migration from another CRM takes six to twelve. The timeline depends less on HubSpot than on how quickly decisions get made and how clean your data is.

Typical timelines by project type

These are typical ranges for a B2B company with one to a few sales teams. Your own timeline depends on scope, so treat them as a starting point, not a promise.

Project

Typical duration

What decides where you land

CRM cleanup of an existing portal

2–4 weeks

How many duplicates, unused properties and old workflows there are

Pipeline and deal stage rebuild

1–3 weeks

How quickly sales leadership agrees on stage definitions

New implementation, one hub

3–6 weeks

Number of pipelines, teams and integrations

Rollout across Sales, Marketing and Service Hub

6–12 weeks

Handoffs between teams and lifecycle stage design

Migration from another CRM

4–12 weeks

Data quality, custom objects and how much history you keep

ERP or CPQ integration

2–8 weeks

API access, field mapping and testing with finance

All of these assume someone on your side can make decisions every week. When decisions wait, the project waits.

What a HubSpot implementation includes

Most implementations move through the same phases, whatever their size:

  1. Discovery. Map how you sell today: stages, handoffs, the tools involved and the reports leadership needs.

  2. Design. Decide the data model before building anything: which objects you use, the properties on each, lifecycle stages, deal stages and who can see what.

  3. Build. Create the properties, pipelines, forms, workflows and integrations from the design.

  4. Data migration. Clean the data, then import it in order: companies, contacts, deals, then activity history.

  5. Testing. Run real records through every path: a form fill, a handoff to sales, a closed-won deal.

  6. Training and launch. Short, role-based sessions, written documentation, and a set date when the old system becomes read-only.

  7. Hypercare. A couple of weeks of quick fixes once people are using it for real.

Design is the phase teams most often try to skip, and it's the one that decides whether the CRM matches how you sell.

What makes implementations run long

  • Decisions made during the build. If nobody has agreed what "qualified" means, the pipeline gets rebuilt more than once.

  • Importing dirty data as it is. Duplicates and inconsistent values are cheaper to fix before the import than after it.

  • Integrations discovered late. An ERP sync found in week five reopens the data model.

  • No owner on your side. A project without one internal decision-maker stalls at every question.

  • Automating everything on day one. Every workflow added before launch is one more thing to test and explain.

  • Waiting for access. Admin rights, DNS records for email sending and API keys for other systems often take longer to get than the work itself.

How to keep yours on schedule

  • Name one internal owner who can make decisions and has time set aside for the project.

  • Agree on definitions first: lifecycle stages, deal stages and what makes a lead qualified.

  • Clean your data before it's imported, not after.

  • Launch with the core (pipelines, properties, forms and the essential automation), then add the rest in a second phase.

  • Book training sessions before go-live, so launch day isn't the first time people see the new setup.

  • Request admin access, DNS changes and API credentials in week one.

Does your HubSpot subscription change the timeline?

Not much on its own. Professional and Enterprise subscriptions unlock more to configure, such as workflows, custom reports, permission sets and, on Enterprise, custom objects. But scope drives the timeline, not the tier: a Starter portal with three pipelines and an ERP integration takes longer than an Enterprise portal with one pipeline and no integrations.

Questions

Can HubSpot be set up in a week?

A basic setup can be: users, one pipeline, a form and connected inboxes. A setup that matches your sales process, with clean data and automation, takes longer, because agreeing on definitions takes longer than the configuration.

Should we migrate all of our historical data?

Bring what your team will use: open deals, active contacts and companies, and the history people need for context. Old, incomplete records often cost more to clean than they're worth, so archive them outside HubSpot instead.

What should we prepare before an implementation starts?

A short write-up of your sales process, a list of everyone who will use HubSpot and what they need from it, exports from your current tools, and admin access to HubSpot, your email and your domain's DNS settings.

Who should own HubSpot after launch?

One person inside your company with time set aside for it: a sales or revenue operations role in larger companies, or a sales manager in smaller ones. They approve new properties, workflows and users, which keeps the portal from drifting.
